Bambook B.V. (hereinafter Bambook or we) provides a website (www.bambook.org) and an application (hereinafter: app). Because you use our services, we process your personal data. Your privacy is of great importance to Bambook. We process your personal data in line with relevant privacy laws and regulations, including the General Data Protection Regulation (hereinafter: GDPR). 

Our privacy and cookie statement in brief

When processing personal data, we comply with privacy laws. This means that we:

  • Clearly set out our purposes before we process your personal data, through this privacy and cookie statement.
  • Store as little personal data as possible and only the data necessary for our purposes.
  • Explicitly request consent for the processing of your personal data, should consent be required.
  • Take the necessary security measures to protect your personal data. We also impose these obligations on parties that process personal data for us.
  • Respect your rights, such as the right to inspect, correct or delete your personal data processed by us.

For what purposes do we use your personal data?

By using our website and platform, we obtain various items of personal data from you. For each purpose, we indicate what data we obtain from you, for what purpose we process this data and for how long it is stored. Registration and account creation

You can create an account on our website. Once the account has been created, you can log in with your user name and password. Creating an account is not necessary to use our services. However, it does bring benefits. The moment you register and create an account, you instruct us to process personal data (performance of contract). 

For this purpose, we process the following personal data:

  • First name and surname
  • Email address

We keep your personal data until you cancel your account, or for a maximum of 2 years after you last logged into your account. We keep some data for longer if we are legally obliged to do so (e.g. because of the 7-year tax retention obligation). 

Sending a quotation

On our website, you can request a quotation without obligation. Bambook will then contact you regarding this quotation. To be able to contact you and provide you with an appropriate quotation, Bambook needs certain personal data from you. We process this data so that we are ultimately able to execute the contract with you. Based on the contract, we can then offer our services.

For this purpose, we process the following personal data:

  • First name and surname
  • Contact details (email address and phone number)
  • Company name
  • Any personal data you enter yourself as the content of a message

We keep your personal data for up to two years. We keep some data longer if we are legally obliged to do so (e.g. because of the 7-year tax retention obligation). 

Contact

When you fill in the online contact form, send an email message, contact us by phone, or contact us in any other way, you accept our offer to enter into contact with us. This processing is therefore necessary for the performance of the contract. 

For this purpose, we process the following personal data: 

  • Name 
  • Contact details (email address and phone number)
  • Any personal data you enter yourself as the content of a message

We will keep your data for as long as is necessary for this contact or up to two years after we last had contact with you, because we want to make sure we have handled your query properly. 

Placing and handling orders When you place an order on our website, you leave certain data behind. We need the data because of the sales contract that is established between you and Bambook. This processing is therefore necessary for the performance of the contract.

For business customers, this is different. In that case, we process the data on the basis of a legitimate interest, as we have to fulfil the contract, namely handling the order.

For this purpose, we process the following personal data: 

  • Name and address
  • Contact details (email address and phone number)
  • Order confirmation
  • Billing address
  • Delivery address
  • Payment details
  • IP address

We keep this data for 2 years after the purchase has been made. We keep some data longer if we are legally obliged to do so (e.g. because of the 7-year tax retention obligation).

Commercial messages Bambook sends you commercial messages, in the form of digital newsletters. You can subscribe to our commercial messages via the website. If, as an existing customer, we approach you with offers on our own and similar products and/or services, we do so on the basis of legitimate interest. If you are not an existing customer, or if the commercial message does not concern our own and similar products and/or services, we will only send it with your permission.

For this purpose, we process the following personal data: 

  • First name and surname
  • Email address

We keep this data until you unsubscribe from the commercial messages again. You can unsubscribe from these messages at any time. Each newsletter contains an unsubscribe link. 

Employment applications

Have you responded to one of our vacancies or submitted an open application? If so, we will process your personal data in order to process your application and in preparation for possibly entering into an employment contract.

For this purpose, we process the following personal data:

  • Name and address
  • Contact details (email address and phone number)
  • Curriculum Vitae
  • Application letter
  • Any other information you enclose with your application

We will retain your application data for up to a maximum of 6 weeks after the position has been filled. We keep this data so that we can contact you in case the position becomes vacant again within the probationary period. If we cannot offer you a position at this time, we may - with your consent - keep the application data for an additional year. You can withdraw your consent at any time by sending us an email. If you join us, we will keep your application data in your personnel file. This file is kept for as long as necessary and, with regard to application data, for up to 2 years after commencement of employment.

Downloading our app To use our app, you need to download it first. You can do this via the App Store or Google Play. We have no influence on what personal data the provider (Apple or Google) processes and the purpose for which they process it. We therefore recommend that you read the relevant privacy and cookie statements of the provider concerned.

Using the app

After downloading the app, you can start using it right away. Using your camera, after giving permission, you can scan photos and save them to the app. You can then bundle the scanned photos together as a notebook. It is possible to export the documents to another app or back them up to a cloud storage service. The documents you save there are only sent to a third party if you give explicit permission.

Furthermore, we collect user data and analyse which features are used and how often they are used, in order to improve our services. This data is anonymised and is deleted within 26 months. In addition, we collect crash logs in order to analyse them and improve our service. This information is pseudonymised and kept for a maximum of 90 days. If you as a user experience a problem with the app, you can fill in our feedback form so that the problem can be investigated. We have a legitimate interest in processing your data, namely improving our services. Your data will be kept for as long as necessary to investigate the problem. 

Furthermore, we process the following personal data:

  • The scanned photos
  • Crashreports

When may we share your personal data with third parties?

Bambook only shares your data with third parties where this is permitted under current legislation. We may provide your personal data to third parties because:

  • we have engaged them to process certain data;
  • we have a legal basis for doing so;
  • we are legally obliged to do so (e.g. if the police demand it in case of suspicion of a crime).

The parties processing personal data on our or your behalf are:

In order to provide the services, Bambook may provide your personal data to parties based outside the European Economic Area (EEA). Bambook will only do so if there is an adequate level of protection for the processing of personal data. 

Security of your personal data

Bambook takes appropriate technical and organisational measures in relation to the processing of personal data, against loss or against any form of unlawful processing (such as unauthorised access, corruption, modification or disclosure of the personal data).

reCAPTCHA

We use the reCAPTCHA service provided by Google Inc (Google) to protect our website from spam and abuse. For Google reCAPTCHA to work, a website visitor's IP address, mouse movements and possibly other data are collected. This information is sent to and processed by Google for this purpose. By analysing this information, Google can determine whether we are dealing with a real website visitor or a robot. For more information, please refer to Google's privacy statement.

Social media buttons 

On our website, we use social media buttons, which redirect you to the social media platforms. This gives you the option to follow us and share content within the network. You will also see advertisements on your social media page. The buttons work because of pieces of code coming from the social media networks.
